This Privacy Policy explains how AthltIQ (“we”, “us”, “our”) collects, uses and protects your personal data when you use our platform. We are committed to protecting your privacy — and to the extra care required when the data relates to young people.

1. Data we collect

  • Account details: name, email, phone, password, role (athlete or coach/scout) and date of birth.
  • Profile information: position, club, playing history, physical attributes, location, nationality, photos and videos you choose to add.
  • Guardian details (under-18s): the parent/guardian’s name, relationship, contact details and consent.
  • Coach verification: for coaches/scouts, DBS certificate details submitted for safeguarding checks.
  • Usage data: messages sent through the Platform, activity, and technical information such as device and log data.

2. How we use your data

  • to create and operate your account and profile;
  • to show athlete profiles to relevant, verified coaches and scouts;
  • to enable safeguarded messaging between users;
  • to run safeguarding checks (including DBS verification) and protect under-18 users;
  • to send service communications and, where you have opted in, occasional updates;
  • to keep the Platform secure and to comply with our legal obligations.

3. Under-18s

Where an athlete is under 18, their account is registered and managed by a parent or guardian, whose consent is our basis for processing the young person’s data. Under-18 profiles are only shown to coaches and scouts who have passed the required checks.

4. Legal bases

We process personal data on the bases of your consent (including guardian consent for minors), the performance of our contract with you, our legitimate interests in operating a safe recruitment platform, and compliance with legal and safeguarding obligations.

5. Who we share it with

  • Coaches and scouts — your profile is shared with verified recruiters as part of the service (subject to safeguarding rules for under-18s).
  • Service providers — trusted vendors that host our infrastructure, store media and send email on our behalf, under appropriate contracts.
  • Authorities — where required by law or to protect the safety of users.

We do not sell your personal data.

6. Storage & security

We use appropriate technical and organisational measures to protect your data, including access controls and encryption in transit. No system is completely secure, but we work to safeguard your information and to limit access to those who need it.

7. Retention

We keep your data while your account is active and for as long as needed to provide the service and meet legal obligations. When you delete your account, we remove or anonymise your data except where we must retain certain records by law.

8. Your rights

Subject to applicable law, you have the right to:

  • access the personal data we hold about you;
  • correct inaccurate data or update your profile;
  • delete your data or close your account;
  • object to or restrict certain processing, and withdraw consent at any time;
  • request a copy of your data in a portable format.

9. International transfers

Where data is processed outside your country, we take steps to ensure it receives an equivalent level of protection through appropriate safeguards.

10. Changes to this policy

We may update this Privacy Policy from time to time. We will post the updated version here with a new “Last updated” date and, where changes are significant, take reasonable steps to notify you.
